Comparison

EU-hosted helpdesks, compared.

Seven helpdesks that can keep your ticket data in the EU: Crisp, Deskpro, Dixa, Freshdesk, Replyful, Trengo and Zendesk. Four are European companies; Deskpro, Freshdesk and Zendesk are American with an EU region. Paid plans start from $45 a month for four seats (Crisp) and go up to $115 per agent (Zendesk, which guarantees EU storage only from Suite Professional).

We make Replyful, one of the seven. The others are listed alphabetically alongside us, and every fact about them links to the vendor's own pricing or hosting page. If something has changed, email [email protected] and we'll fix it.

Where your tickets live, and what it costs to start.

Starting prices are the cheapest paid plan that keeps ticket data in the EU, per month and excluding VAT, on annual billing where the vendor shows both, in the currency the vendor quotes.

The tools

What each one is best at.

Crisp

Best for: small teams where chat comes first

A French messaging platform: live chat, a shared inbox and chatbots, priced per workspace rather than per agent. Every account is stored in the EU, though the main host is a US-owned cloud running EU data centers.

Deskpro

Best for: larger or regulated organisations that need private cloud, on-premise or sovereign-cloud hosting

A mature helpdesk with more ways to deploy than anyone else on this list. Cloud accounts start in the US, so ask sales for the EU region before you sign up.

Company based in
United States (Austin); founded in London

Dixa

Best for: teams that run phone support alongside chat and email

A Danish customer-service platform built around conversations across voice, email and chat. Its DPA puts main storage in the EU; its privacy policy allows service providers to transfer data outside it.

Freshdesk

Best for: a low entry price with a large feature set and marketplace

Freshworks' helpdesk, with an EEA data center you pick at signup on any plan. The company is American, so the EU region covers where data sits, not who holds it.

Replyful

Best for: B2B teams that want SLAs per customer account and an automation rate they can show their CEO

Ours. Email and chat in one helpdesk, with AI that answers what it knows and hands the rest to a person. Data and AI stay in the EU on every plan; the servers belong to US cloud providers under standard contractual clauses.

Company based in
Sweden (Stockholm)
Ticket data stored
EU only, on every plan: Amsterdam (Railway) and Frankfurt (AWS); AI in EU regions

Trengo

Best for: teams answering on messaging channels such as WhatsApp next to email

A Dutch omnichannel inbox priced per team rather than per seat: the entry plan covers up to 10 users, so it costs the same for two people as for ten.

Company based in
Netherlands (Utrecht)
Ticket data stored
EU (Frankfurt) for every customer, on AWS, PlanetScale and Elastic

Zendesk

Best for: the largest app marketplace and enterprise features

The best-known helpdesk. Cheaper Team plans exist, but without the add-on Zendesk may move data between regions, so EU storage effectively starts at Suite Professional.

Company based in
United States (San Francisco)
Ticket data stored
EU (AWS Ireland and Germany) with the Data Center Location add-on, free from Suite Professional; AI agents run on Google Cloud in the US and Belgium
Starts at
Suite Professional, $115 per agent

AI
AI agents: 10 resolutions per agent a month on Suite Professional, then $2.00 each pay-as-you-go

Before you pick

EU-hosted is not the same as EU-owned.

Most of these tools, Replyful included, run on servers in the EU that belong to US cloud providers. That is normal, and a DPA with standard contractual clauses covers it. What differs is everything around the database. Ask any vendor these five things.

  1. 01

Where is the company, and who can be compelled to hand over data?

A US company, or a European one owned by a US parent, can receive US legal orders even for data stored in Frankfurt. A European company on a US cloud is one step removed. Only self-hosting on your own servers takes the question off the table.

  2. 02

Is EU storage the default, or a plan you have to buy?

Some tools keep every account in the EU. Others offer it only on higher plans, as an add-on, or by request when the account is created. Moving an existing account later can mean a migration.

  3. 03

    Where does the AI run?

Tickets stored in the EU can still be sent to a model in the US for every AI reply or summary. Ask where inference happens and whether the provider can train on your data.

  4. 04

    Who are the sub-processors?

Email delivery, attachments, search, analytics and sign-in are often separate companies. A public sub-processor list shows which ones see conversation content and where they are.

  5. 05

Where are backups and logs kept, and for how long?

A database in the EU with backups or error logs elsewhere is not EU-hosted. Ask for the backup location and the retention window after you delete data.

Where Replyful fits

EU hosting gets you on the shortlist. Knowing how support is doing is why you'd stay.

Replyful is for teams that answer customers by email and chat and want the numbers without asking agents to tag everything. Data and AI stay in the EU on every plan, from €19 per user.

  • Automation rate, measured

Every message is stamped with who wrote it, the AI or a person, so the share the AI solved is counted, not estimated. A case counts as solved by AI only once it has stayed solved for 72 hours.

  • SLAs per customer account

Response and resolution targets are set per customer account, in business hours, and every case knows who it's waiting on: the customer, a supplier, or your team. On Pro.

  • AI that hands over cleanly

The AI answers what it knows, says so when it doesn't, and a person takes the thread back with the whole case in front of them. The customer never repeats themselves.
